We have been receiving a number of enquiries regarding holding AGMs and general Branch meetings under the current social distancing restrictions.
We do encourage Branches and Management Councils to continue to hold meetings within the same time frame where possible and not to defer to a later date.
Branches and Management Councils are permitted to use the various teleconference services or online meeting platforms that are available.
Many Branches are already using this type of technology as an efficient and effective way to hold meetings, as distance is an ongoing issue for many Members when it comes to attending meetings.
These technologies allow Members to attend meetings without having to leave home.
There are many video conferencing platforms available such as: Skype, Zoom, Google Hangouts.
Similarly, there are a number of teleconference options available such as: join.me., Zoom, Express Virtual Meetings
Some of these services are free but some do charge for the service so you will need to determine which service best suits your needs and the number of Members who are likely to be joining the Meeting.
The younger Members of the family may be very helpful at this time if assistance is needed with setting up and using these platforms.
If meetings are to be conducted via teleconference or video conferencing platforms then the details need to be provided to Members on the Agenda with clear guidelines on how to join the Meeting.
The Minutes of the meeting also need to state how the meeting was conducted.
